Notice: New Features

Well it's been a while since our last major update. But we're
finally ready to release what we believe will be some very cool
and useful features. See below for a summary of the features and
other release details. If you have any questions or comments

2.3.10 Summary
- Audit Tracking Change: Changing the Primary
Administrator is now audited.
- New Policy Option: System Administrators can be disallowed from authorising bookings.
This option is now audited. (See Business Account > Policy > General >
Disallow System Administrator to Authorise Bookings).
- Calendar Change: In order to more easily see
when a booking starts, a dashed yellow border is now visible
at the beginning of each booking.
- Booking Authorisation: Option to force authorisation for users
when using a vehicle from outside the users default vehicle group.
(See Account Setup Centre > Policy Summary > Booking
Authorisation Rules).
- New Report/Extract: Lookup List (Vehicles,
Workgroups, etc.) extracts can be produced from the lists Browse
page.
- New Audit Report/Extract: Audit report for deleted bookings.
(See Account Setup Centre > Audit Log > Delete
Booking).
- New Report/Extract: A new charge-back report with
additional filters and charging options. (See Account Setup
Centre > Reports > Charge-back 2).
- Global Calendar: A new calendar which
displays all bookings in calendar view for a selected date. (System Administrators
access only. See Account Setup Centre > Manage > Global
Calendar).
- New Personalisation Option: Send a booking confirmation
e-mail to vehicle users after booking has been
processed. (See Account Setup Centre > Personalisation
> Booking Confirmation).
- Feature Change: The Vehicle Log Entry has been
renamed to Check Out/In and additional fields have been
added. (See right-hand sidebar for more information).
- Calendar Change: Enhanced colour coding to
indicate if/when a booking is checked out/in. Amber (checked out), green (checked
out and in). Please note: Using the check out/in
feature is optional.
- New Policy Option: 2 new fields added; Alternate
User Name and Alternate User E-mail (e-mail does not have
to be registered in the system). These fields are useful
if the same person is responsible for entering bookings for
other users. The Alternate User Email can also be sent a
booking confirmation. These additional fields can be
displayed on the booking page if required. (See Account
Setup Centre > Policy Summary > Booking).
- New Policy Option: Allow Concurrent Bookings. Allow
the same user to enter overlapping bookings. This option is
useful if the same person is responsible for entering
bookings for other users who may or may not be registered in
the system. Can be used in conjunction with Alternate User
Name/E-mail. (See Account Setup Centre >
Policy Summary > Booking).

Check
Out/Check In

The check out/check in feature allows for additional
information to be collected when a vehicle is taken out and
returned. Please Note: This is an optional feature and is
currently only available to System Administrators. An upcoming
update will allow greater flexibility to provide access to other
users.
Feature
List Summary
- The check out/in page is available from the Booking
Manager for the booking. The check out/in page also displays
the last booking (prior to this booking) and a summary of
information for the booking to be checked out/in.
- The following fields are available;
i. Reason for Travel
ii. Private Use Allocation (%)
iii. Check out date and time
iv. Start Odometer Reading
v. Check in date and time
vi. End Odometer Reading
vii. Fuel Gauge Reading
viii. Incident Report/Comments
- All fields can be hidden or displayed as optional or
required. (See Account Setup Centre > Policy Summary >
Booking).
